Terms of use
The agreement between you and EB IT Support Ltd for using Video Planner. Last updated 5 October 2026.
1. About these terms
Video Planner is a video planning service run by EB IT Support Ltd, Boston Enterprise Centre, Boston, Lincolnshire ("we", "us"). By creating an account or using Video Planner, including the phone app, you agree to these terms and confirm you've read our Privacy policy. If you don't agree, please don't use the service.
2. Your account
- You must be 13 or older. If you're under 18, you need a parent's or guardian's permission, and they accept these terms on your behalf.
- Give accurate details, including an email address you can access — we use it for password resets and important account messages.
- Keep your password private, and only tick "Keep me signed in" on devices you trust. You're responsible for what happens in your account. Tell us straight away if you think someone else has got into it.
- One person per account. Don't share your sign-in — invite people to your workspace instead.
- New accounts may need to confirm their email address, and may need approval from our staff, before they can be used.
3. Your content
Everything you add — videos, scripts, shot lists, ideas, descriptions, images and so on ("your content") — stays yours. You give us permission to store, encrypt, process and display your content only so we can run Video Planner for you and the people you share your workspace with. We don't claim ownership, sell it, or use it for advertising or to train AI.
You're responsible for your content and must have the right to use it — for example, don't upload images you don't have permission to use. We may remove content that breaks these terms or the law.
Please keep your own copies of anything important (the shooting plan and shot lists can be printed). We work hard to keep your data safe, but no online service can promise it will never be lost.
4. Acceptable use
Please don't use Video Planner to:
- break the law, or store or share anything unlawful, harmful, hateful, or that infringes someone else's rights;
- harass, threaten or harm anyone, including the people in your workspace;
- try to get into accounts, workspaces or data you're not entitled to, or test, probe or attack the security of the service;
- overload, disrupt or scrape the service, or use bots and automated tools other than the features we provide;
- get round plan limits, YouTube usage limits or other restrictions — for example by creating extra accounts;
- send spam through the contact form or team invites;
- copy, resell or rebuild Video Planner itself.
5. Teams and workspaces
If you invite people to your workspace, they can see everything in it, and their role decides what they can change. You're responsible for who you invite and what roles you give them, and you can remove them at any time. If you join someone else's workspace, the content there belongs to them and they can remove your access. Limits and features in a workspace come from the owner's plan.
6. YouTube and Twitch
Channel insights, the idea generator, the title helper and trending topics use YouTube API Services. By using those features you also agree to be bound by the YouTube Terms of Service, and Google's handling of information is covered by the Google Privacy Policy.
Only add channels you own or are allowed to analyse. If you add your own YouTube API key, you're responsible for it and for following Google's terms for it. YouTube may change or limit its services, which can affect these features.
Twitch stats use Twitch's public API. Only connect a Twitch channel you own or are allowed to analyse. Twitch may change or limit its API, which can affect these features — for example, Twitch only keeps past broadcasts for a limited time.
Insights, suggestions, best times to go live, pacing and trending topics are worked out from statistics and third-party data. They're there to help you plan — they aren't guarantees of views or results.
7. Plans and payments
Each account has a plan that sets limits (such as how many videos or channels) and which features are included. Some plans are free; paid plans are shown with their price before you buy.
- Paying: payments are taken by our payment provider, Stripe. We never see or store your card number. Prices are shown including any VAT that applies at checkout.
- Renewal: paid plans are subscriptions that renew automatically each month or year, at the price you agreed, until you cancel. We'll tell you in advance before any price change applies to you, and you can cancel before it does.
- Free trials: if a plan has a free trial, you won't be charged until it ends, and you can cancel before then without paying.
- Changing plan: you can switch plan at any time from Plan & billing. The price is adjusted for the rest of the billing period on your next invoice.
- Cancelling: cancel any time from Plan & billing. Your plan stays active until the end of the period you've paid for, then your account moves to the free plan. Your data is kept.
- Your right to cancel: if you're a consumer in the UK, you can cancel a new subscription within 14 days of buying it and get a refund — but if you ask us to start the service straight away (which happens when you subscribe), we may keep an amount for the time you've used. Contact us to cancel this way.
- Failed payments: if a payment fails, Stripe will retry it and we'll ask you to update your card. If it still can't be taken, your account moves to the free plan.
- Refunds outside the 14-day window are at our discretion, except where the law says otherwise (for example, if the service wasn't provided with reasonable care and skill).
We may change plans, limits and features; if a change takes something away from a plan you're paying for, we'll give you notice and you can cancel.
Affiliate programme and sponsor offers
- You can share your affiliate link or code. Rewards (commission, free months, and any discount for the people you refer) are as shown on your Affiliate page at the time someone pays, and only count for genuine paying customers — not yourself, duplicate accounts or payments that are refunded or disputed.
- Commission is added up in your account and paid out by us; we may ask for payment details and proof of identity first. Free months are credited to your account and come off your next bill; they have no cash value.
- Your welcome page (the page people see from your link) is public. Only use a name, photos and words you have the right to use, keep it suitable for everyone 13 and over, and don't pretend to be someone else or promise things we don't offer. We can hide a welcome page that breaks these rules.
- Promote Video Planner honestly: say it's an affiliate or sponsored link where the law or platform rules require it (for example, the ASA/CAP rules in the UK and YouTube or Twitch disclosure settings), and don't use spam or misleading claims.
- Sponsor offers from us come with their own requirements and reward, shown when you apply. We may decline applications, and end or change the programme with notice; rewards already earned will be honoured.
8. The service
We're continually improving Video Planner, so features may change, be added or be removed. We aim to keep it available and working well, but we can't promise it will always be uninterrupted or error-free — for example during maintenance or problems with our hosting, email or YouTube.
9. Privacy and encryption
We handle your personal information as described in our Privacy policy. In particular, your name, email address and the content of your scripts, notes and ideas are encrypted in our database (AES-256-GCM), passwords are stored only as one-way hashes, and connections to the site use HTTPS. Encryption protects your data if the database is ever copied; when you use the service, it is unlocked to show it to you, your team and — only to help with support — our staff.
10. Ending your account
- You can stop using Video Planner and delete your account at any time from My account → Delete my account. This permanently deletes your account and everything in your workspace.
- We may suspend or close an account that breaks these terms, puts others or the service at risk, or that we're required to close by law. Where reasonable, we'll explain why and give you a chance to sort things out first.
- We may stop offering Video Planner altogether. If we do, we'll give reasonable notice so you can save anything you need.
11. Our responsibility to you
We provide Video Planner with reasonable care and skill. If you use it as a consumer, you have legal rights that these terms don't affect.
Nothing in these terms limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else the law doesn't allow us to limit. Apart from that, we're not responsible for losses that weren't foreseeable, for loss of business, income, views or opportunities, or for problems caused by things outside our reasonable control (such as YouTube, internet outages or your own device). Our total liability to you is limited to the greater of £100 and what you paid us in the 12 months before the problem.
12. General
- Changes: we may update these terms. We'll change the date at the top, and tell you by email or on the site before important changes take effect. If you keep using Video Planner after that, the new terms apply.
- Law: these terms are governed by the law of England and Wales, and disputes go to the courts of England and Wales. If you live in Scotland or Northern Ireland, you can also bring proceedings in your local courts.
- If any part of these terms can't be enforced, the rest still applies. If we don't enforce a term straight away, we can still do so later.
